Job description

Personal Assistant - Up to S$3,000 to S$4,000 + PB

  • 5 days work week | 8:00am - 6:30pm
  • Location: Ubi Cres

He/she will perform the following duties; but not limited to;

  1. Personal Assistant to CEO (40%):

  2. To manage CEO's calendar, appointments, meetings, and travel arrangements.

  3. To provide high-level administrative, coordination, and project support to ensure the CEO's effectiveness in strategic, operational, and client-facing responsibilities.

  4. To act as a bridge between the CEO, internal departments, and external stakeholders (suppliers, consultants, project partners, and clients).

  5. To serve as the primary liaison with Japanese principals, business partners, ensuring smooth and accurate communication between them and the CEO.

  6. To translate meeting minutes, contracts, and commercial documents when required, ensuring accuracy and confidentiality.

  7. To organise and attend BOD meetings, prepare documents, take meeting notes, and write the minutes.

  8. To handle confidential documents and company data with discretion.

  9. Sales administration activities (50%):

  10. To support the sales department with sales administrative tasks including preparing quotations, tenders, etc.

  11. To receive, verify & process orders through internal liaison.

  12. To prepare marketing presentation materials and samples.

  13. To maintain and update sales & customer records, distributor agreements, etc.

  14. To compile monthly sales reports.

  15. To direct feedback from customers to relevant departments.

  16. To stay up-to-date with new products and features.

  17. Marketing activities (10%):

  18. To plan & monitor various marketing activities to be executed by the Marketing Executive.

  19. To do other ad-hoc duties assigned.

Requirements

  • Diploma holder in Marketing or Business or Architecture.

  • Min.

    5 years' experience in a similar position.

  • Familiarity with sales reports and sales records
  • Bilingual in English and Japanese; experienced in translating and interpreting for the CEO in communication with Japan headquarters and clients.
