Overview

Trading Operations Settlements Assistant (Fixed Term Contract)

Join to apply for the Trading Operations Settlements Assistant (Fixed Term Contract) role at TotalEnergies.

Responsibilities

  • Provide administrative involvement (internationally) in the daily management of files.

  • Collaborative and supportive role with internal stakeholders: Operations, Credit, Accounting and Treasury in TTA and TOTSA Geneva.

  • Engage with external stakeholders: Bank Credit Officers, Customers, Insurance Brokers, archive services providers.

  • Use digital/IT tools and TotalEnergies ETRM software.

  • Participate in the workload of Operations for all grades (Crude, Petroleum Products, LPG, Biofuels and Petrochemicals) on cargo invoicing, including administrative support related to invoicing and payment follow-up, inspections and storage invoice payments, BL endorsement, document dispatch under open credit and through Letter of Credit guarantees.

  • Provide support for the collection of insurance certificates and archive documents.

  • Assist in stock reconciliation and document management for TTA and TOTSA.

Activities

  • Receive and track documents, record date of receipt in ETRM software (Medissys).

  • Carry out shipments invoicing processes (In & Out) upon approval of provisional and/or final pricing and quantities.

  • Support working capital requirements for quarter closings (discounting, banking factoring, etc.).

  • Prepare documents for presentation to banks or counterparties and record date of sending in Medissys.

  • Generate payments for inspection/storage costs upon Operator approval.

  • Generate payments for storage costs if estimates are entered in Medissys by the storage Operator.

  • Assist Operators in stock reconciliation if needed.

  • Prepare and collect insurance certificates from TTA’s insurance brokers.

  • Prepare, scan and send documents needed by Demurrage department in Paris.

  • Follow up on aging reports/unpaid lists and prompt customers to respond to reminders.

  • Analyse overdue accounts with Accounting and Operators, and assist in calculating possible recoverable late payment interests.

  • Monitor Medissys reporting screens daily as requested by Operators/Operations Manager (payments approvals, invoicing follow up, outstanding payments).

  • Suggest improvements with a digital mindset to enhance efficiency and day-to-day productivity.

  • Maintain filing and archival of physical documents/e-documents for TTA and TOTSA.

Candidate Profile

Education and Work Experience

  • Bachelor’s Degree in Business, Mathematics, Logistics/Supply Chain, Maritime Studies or related field
  • At least 2 to 3 years of professional experience in the same function would be a plus

Language

  • Fluent in written and spoken English
  • Proficiency in other languages is an advantage
